
Youth at Risk Conference Administrator (Contract Position)

We are currently seeking a Youth at Risk Conference Administrator (Contract Position) who is detail-oriented and highly organized Conference Administrator to support the annual YAR Conference, the region’s only all-day professional development event dedicated to those serving youth facing adversity. The YAR Conference brings together 700+ professionals each May for keynote speakers, breakout sessions, program exhibitions, and networking opportunities.
About the Role:
Schedule:
· September–March: 20–30 hours/week
· April–May: 30–40 hours/week
· June–August: ~5 hours/week
Rate: $26-32 per hour, based on education and experience
Key Responsibilities:
· Attend and document monthly planning meetings in Middleton, MA; attend setup day and the full conference in May.
· Develop and manage the conference project plan, timeline, and key documents (committee lists, membership packets, volunteer packets, email templates).
· Coordinate communications to stakeholders regarding proposals, exhibitors, award nominations, and event updates (with committee approval).
· Provide administrative support to the presenter subcommittee and maintain presenter records.
· Manage registration software and provide customer support to attendees.
· Collaborate with subcommittees on artwork, marketing, solicitations, and conference-day logistics (food, room assignments, materials).
· Apply for continuing education units (CEUs) with relevant licensing boards.
· Maintain and enhance email distribution lists and update yarguide.org.
· Partner with fiscal staff to process fees, invoices, and payments.
· Prepare a comprehensive post-conference summary.
Qualifications:
· Associate’s Degree or at least 2 years of relevant administrative/event planning experience.
· Demonstrated ability to work collaboratively with diverse teams.
· Strong communication and editing skills, both written and verbal.
· Proficiency with Microsoft Office and registration database platforms.
· Experience planning or supporting large-scale events (700+ attendees preferred).
· Strong organizational skills and ability to manage multiple tasks on deadline.
Other Requirements (related to in Program licensing standards):
· Hybrid Remote: Minimum 1 day/week in the office; increased in-person work as the conference approaches.
· Must attend monthly committee meetings in Middleton, MA and travel as needed across Cape Ann/North Shore.
· Valid MA driver’s license, proof of auto insurance, and reliable transportation required.
· Must successfully complete employment physical, CORI, SORI, DCF, fingerprint clearance, and comply with Head Start vaccine requirements (related to in Program licensing standards):
